PREPARATION FOR DISTRICT CONVENTION
A) Draw attendance from the members:
Print out the form for registering attendees.
Make many copies.
Take them with you to the Chapter meeting.
Distribute them to the members.
B) District Delegates
Elections must be held in a Chapter meeting that is properly noticed, etc. (AHEPA: 6 delegates per Chapter)
[AHEPA only: AHEPA Past District Governors in good standing are automatically delegates. Their privilege is recognized upon showing up. They are not part of a count, and need not be reported as part of the Chapter delegation.]
Write, sign and send a letter to District Secretary reporting the results of the election. The letter should be postmarked by June 5.
C) Specific to AHEPA only:
i) Chapter Report:
Prepare your Chapter Report: this is a letter that the Chapter President will read at the business meeting, and then it will be incorporated in the Convention Minutes as an Appendix.
The Chapter report should mention the number of paid Chapter members. This number will be used to compute the amounts of the checks:
ii) Checks:
Prepare and bring with you three checks:
1) Payable to AHEPA District 22, in the amount of $(4 for each paid
member);
2) Payable to the AHEPA Mentor, in the amount of $(15 for each paid
member); and
3) Payable to AHEPA District 22 Scholarship Fund, in the amount of
$(2 for each paid member).
iii) AHEPAn of the Year:
Your Chapter should elect its nominee. If there is a contest, there is a secret election. Then AHEPA National's form should be filled out for the Chapter nominee, and signed by the President. Then the form should be placed in a sealed envelope.
The sealed envelope should be brought to the Convention, and delivered to the appointed Committee. They are instructed only to consider nominees for whom National's form has been used. Of those considered, they will choose one as District AHEPAn of the Year.
